Full Service Wedding Planner in Portugal: What Does It Actually Include?

Hiring a full service wedding planner should not mean paying for someone to send you supplier lists while you still chase emails, keep track of deadlines and wonder what you might have forgotten.

That is often the real question behind the decision: if we hire someone to plan our wedding in Portugal, what will actually come off our plate and what will still be ours to decide?

At Name It Weddings & Events, full wedding planning starts with the first conversation, even before a couple decides to work with us. Understanding where each couple is in the process allows us to guide everything that follows.

Before Anything Is Booked

There is no single starting point for full wedding planning. Some couples come to us before they have researched a single venue. Others already have favourites saved, or have even made a few enquiries without committing to anything.

The initial call helps us understand what you want from the celebration, why you chose Portugal and what matters most to you. From there, we can identify what actually needs to happen next rather than giving you a generic planning checklist.

It is also where we explain how we work. At Name It Weddings & Events, one person leads the planning from beginning to end, so you always know who is across the details. On the wedding day itself, a team joins to coordinate the celebration.

From Your Ideas to the Right Venue

Knowing the kind of wedding you want and knowing where it can actually happen are two different things. Once we understand what matters to you, we research and select venues that make sense for your celebration.

If you are planning from abroad, you do not necessarily need to fly to Portugal every time a promising venue comes up. Name It Weddings & Events can visit on your behalf, walk through the spaces and record detailed videos.

Our role is to make sure you have the right options and the information you need to choose the venue confidently. Planning a wedding without visiting Portugal first is entirely possible.

Supplier Selection Is Only the Beginning

Finding the right suppliers is part of full wedding planning, but handing you a list of names is not where our involvement ends. We select options around your requirements, while you remain part of the decision and have full visibility over supplier conditions and contracts.

Once suppliers are chosen, Name It Weddings & Events remains the link between everyone involved. We join online meetings with you, guide conversations when needed and keep track of the decisions being made. As the wedding takes shape, we coordinate suppliers with each other as well as with the venue, so that timings, access requirements, technical limitations and necessary paperwork are addressed without you having to manage those conversations yourself.

That can mean anything from making sure a DJ completes a venue-specific form to bringing catering, entertainment, decoration and stationery into the same plan. Many planning problems happen in the gaps between individual suppliers. Full planning means someone is looking at how all those moving parts work together.

Keeping the Planning Moving

Name It Weddings & Events prepares and attends technical venue visits and menu tastings, follows up on what is decided and makes sure outstanding details continue moving towards resolution.

The same applies to the budget. Throughout the planning process, you receive updated budget overviews and payment plans, so you know what is due and when. This becomes particularly important with international payments, which often need to be organised further in advance.

Rather than filling your calendar with unnecessary meetings, we use periodic walkthroughs to look at where the planning stands, which decisions are coming next and what still needs attention. For couples planning from the UK or elsewhere abroad, that structure means you can stay involved without having to keep the entire planning process in your head.

What Is Still Yours to Decide?

Full service does not mean handing your wedding over to someone else. You still decide which venue feels right, which suppliers you want to work with and what you want the celebration to look and feel like.

Our role is to do the work around those decisions: researching the right options, preparing what you need to evaluate them, coordinating the people involved and keeping track of what has to happen next.

By the Time the Wedding Day Arrives

The difference between full wedding planning and day-of coordination is not simply what happens on the wedding day. It is everything that has already happened before it.

Name It Weddings & Events arrives with a team on the day, but by then the suppliers have been coordinated, the timings agreed, the venue requirements addressed and the details worked through. The team is there to manage how everything comes together, from the ceremony through cocktails, dinner and the evening celebration.

On the wedding day, you can step away from the planning and simply experience the celebration you have spent all those months shaping with us.

If you would like the celebration to extend beyond the wedding itself, we can also plan and coordinate a welcome event or post-wedding gathering as an additional service.

When choosing a full service wedding planner in Portugal, asking the right questions can help clarify what the service actually includes and what you can expect throughout the planning process.
