A wedding coordinator joins later in the process. The main decisions have usually been made by then: the venue is booked, the suppliers are confirmed and the timeline is taking shape. Their job is to manage the execution, keeping the day running to plan, handling logistics on the ground and allowing the couple to be present at their own wedding.
A full wedding planner is involved before those decisions are made. The work can include identifying venues, building a supplier team, managing contracts and budget, and defining how the celebration comes together. It takes place over months and continues through to the wedding itself.
This is an important distinction in the way we work at Name It Weddings & Events. Coordination is part of our full planning service and develops alongside the planning itself. When we coordinate the wedding day, we are managing decisions and relationships we have already been involved in building with the couple.
Wedding Planner vs Coordinator: What Full Planning Covers
Full service wedding planning starts long before there is a wedding day to coordinate. At Name It Weddings & Events, that can mean researching venues, visiting them on a couple’s behalf, selecting supplier options around their requirements and keeping track of contracts, budgets and payment plans.
Once those decisions are made, the work continues. We remain the link between the couple, suppliers and venue, following up on decisions and bringing timings, access requirements, technical limitations and necessary paperwork into the same plan. For couples planning from abroad, much of this happens in Portugal while they remain fully involved in the decisions. This ongoing involvement is what separates full planning from a coordinator who joins an already established wedding plan.
Wedding Planner vs Day-of Coordinator: When Is a Coordinator Enough?
A coordinator may be the right fit when much of the planning has already been done. If you have chosen your venue, selected your suppliers, worked through the budget and made the main decisions about the celebration, you are starting from a very different place from a couple who still needs to build that plan.
This is where the difference between coordination and full wedding planning becomes particularly relevant. A coordinator works with a plan that is already largely in place. A full wedding planner is involved in creating that plan with you and continues to coordinate the decisions, suppliers and logistics as the wedding develops.
